Payment Methods

Within KAYAK for Business, you can choose whether you want your travelers to provide their own individual credit card (company or personal) OR have all travelers use a shared company card.

Individual credit cards

No setup required. Each traveler can enter their own Credit Card information at time of profile creation or they can enter it at time of checkout when making a booking. Their credit card information will need to be entered and maintained directly in KAYAK.

Centralized payments for flights and hotels

Centralized payments allow you to add a shared company credit card and assign which policy groups should have access to that card. Once assigned, those travelers do not have the option to use an alternative card for hotels and flights.

 

Adding shared company cards

You may add multiple shared company cards, but each policy group can only be assigned to one card at a time. If a group is not assigned to a shared credit card, those travelers will make payments using their individual card.

Virtual cards for hotel reservations

For hotels, the centralized payment will be used to guarantee the reservation but a virtual card will be issued and sent to the property for payment at checkout. This virtual card does have limits on what expenses can be included.

These services are configurable by the admin. You can even specify which incidentals are permitted to be paid using this card, ensuring that your company’s expenses align perfectly with your policies and preferences.

In the case of issues at check-in, the traveler can display the card # or resend a CC authorization form to the property.

Centralized payments for cars

With car rentals, it is expected you are paying at time of drop off. In this case, the traveler is expected to provide their own credit card unless the company has a specific direct billing agreement with the car rental company.
