Users

Last updated Jan 8, 2025

Users can be added to your company in multiple ways, depending on your preferred approach and the user’s relationship to your company.

Manage employees via SSO

For accounts that have configured a Single Sign-On (SSO) integration, the list of users within your company will be regularly updated and maintained through that sync. Users can be assigned to any role or group.

Non-employees and/or any users with email addresses that don’t match one of your company email domains must be added manually as Guests.

Managing employees via CSV upload

If SSO is not used, an admin can create or update up to 1,000 users at a time via CSV upload. Users added via CSV upload must have email addresses that match one of your company email domains. They can be assigned to any role or group. User profiles created by CSV upload can be updated by subsequent CSV uploads or via manual editing.

Non-employees and/or any users with email addresses that don’t match one of your company email domains must be added manually as Guests.

Managing individual users manually

Users can be added one at a time by manually entering their information.

Employees

Employees with email addresses that match one of your company email domains can be added one-by-one and assigned to any role or group. User profiles created manually can be updated by subsequent CSV uploads or via manual editing.

Guests

Non-employees and/or any users with email addresses that don’t match one of your company email domains can be added manually as Guests. When a guest is created, you can assign them to any group. You must also define the timeframe for how long they will have access to your KAYAK for Business account. Guest profiles can but updated via manual editing.

Booking for one-time guests

There may be situations where you wish to make a booking for someone that you don’t want to be added as a user within your company. You can allow users to search on behalf of one-time guests, then enter the guest’s information at checkout.

In this scenario, the guest will receive their itinerary information without ever being invited to join your company’s account.
