Roles

Last updated Jun 20, 2025

Within User Management, you as an admin have the opportunity to specify which permissions your users have. By default, K4B comes with 4 roles with preset permissions out of the box. All of these default roles are enabled and can be assigned to any user.

  • Traveler
  • Travel arranger
  • Admin
  • Guest

Custom roles

If the default roles don’t provide the permission set you need for a user type you have in mind, you can create Custom Roles.

By adding a custom role, you can select any combination of permissions from the selection below and assign a name for that role. Once your role is created, you can assign any user to this custom role.

Note: Reporting permissions are for Biz+ accounts only.

When creating custom roles, the role name is required and must be unique. Additionally, the permissions you select for a custom role must also be unique (i.e. you cannot create a custom role with the same permission set as another custom role or a default role).

Guest roles

Any user with the role of Guest implies they are not an employee of your company and have a preset amount of time in which they can use KAYAK for Business to book travel. Common examples of guests would be contractors and recruits.

The role of Guest will be assigned automatically when you create a Guest user. Learn more about creating guest users.

From here, you can assign them to a policy group and define for how long that guest will have access to your KAYAK for Business account.

Any user set up as a guest would receive an email from Kayak for Business with a link to confirm email. This link will bring them directly into the product – they will not need to login.

Once the end date of their guest profile is reached, this link will no longer work and they will no longer have access to Kayak for business.
